Account and privacy choices

Manage how FogiDesk reaches you, understand what your administrator controls, and request access, correction or deletion.

Applies to the web portal and mobile app

Notification choices

Where your role and workspace support them, you can choose email and phone notifications by topic in your FogiDesk account. Phone settings can also be adjusted for an individual registered device, including quiet hours.

The in-product notification record remains available. Account and security notices that require your decision cannot be switched off.

Attachments are optional

You can create a case without adding an image. If you choose to add a photo, document or PDF, it becomes part of that case and follows the same access controls and retention process as the service record.

Devices and sessions

Mobile notifications require a device registration tied to your signed-in session. You can change phone notification settings in FogiDesk. Signing out or revoking the session makes that registration ineligible for further delivery.

Removing account access

FogiDesk accounts are managed by workspace administrators. Ask your administrator to remove your membership when you no longer need access. This blocks access to that workspace, but it is not automatically the same as deleting personal data from completed case and audit records.

If the same sign-in account belongs to another workspace, removing one membership does not remove access to the others.

How to request account or data deletion

  1. Contact your workspace administrator. Use your organisation's usual service desk or the details under Contact and help after sign-in.
  2. Identify the correct account. Give your name, the email address used to sign in and the FogiDesk workspace concerned. Do not send case content unless it is needed to identify the request.
  3. State what you need. Ask for removal of access, a copy, a correction, deletion of personal data, or a combination.
  4. The workspace reviews the request. An authorised manager can register it, and the workspace owner reviews the deletion plan before any records are erased or redacted.
Why the administrator handles the request. The administrator can verify your identity and workspace without exposing customer information through a public form.

If you cannot sign in or identify the administrator

Email info@fogito.com with the subject FogiDesk account deletion. Include your name, sign-in email and the workspace or organisation name if known. Do not include passwords, case content or sensitive attachments. You may also call +45 70 70 70 19.

Fogito will route a request about operational workspace data to the controller named in the relevant agreement. Fogito will handle the parts for which Fogito is controller, such as its own subscription, security and compliance data. Sending a request to Fogito does not allow Fogito to replace a customer's controller decision.

Records that may remain

A deletion plan distinguishes information that can be erased, information that can be redacted, and records that must be retained because of a legal obligation or active legal hold.

Cases, messages and service records are normally kept for 3 years after closing. Security and sign-in logs are kept for 13 months. On workspace termination, the export window is normally 90 days, operational deletion follows within 30 days, accounting records are kept for 5 years from the end of the relevant financial year, and backups roll off after at most 35 days.
